Elections Office Mailings

Did you get something in the mail that you think is from us? Want to know why you received it?

Mail from our office will always have our return address and logo present in the upper left hand corner of either the mailpiece or the envelope. If these are not present, then the mail did not originate from our office.

Below are examples of common mailings from our office, as well as the purpose for each. The wording on the notice you received may vary somewhat from these examples.

Voter Information Card

A new voter information card is sent whenever a voter makes a name change, address change, or a party change,
or for redistricting.

Address Confirmation Card

We received some information that you may no longer live at the address we have on file.
Please respond to this notice, so that we may keep our records current.
You may also respond online.

Address Change Notice

We received information (usually from the Post Office) that your residence address has changed. By Florida Law, we are required to change your address and send you this notice.
Please let us know immediately if the information on this card is not correct.

If you receive this card, you will also receive a new Voter Information Card as well.

Address Confirmation Final Notice

First class mail sent to you was returned to us by the Post Office as undeliverable.

If you fail to respond to this notice within 30 days, your registration will be placed in inactive status. If you do not vote or contact our office within the next two general election cycles, your registration will be cancelled and you will need to re-register in order to be eligible to vote.

If you receive this mailing any pending mail ballot requests will be cancelled per Florida Law. You must make a new request to continue receiving mail ballots.

Petition Address Confirmation Request

This card is sent if you sign a petition and the address on the petition form does not match the address we have on file.
Please respond to this notice, so that we may keep our records current.

Polling Place Change Information

This notice is sent to all voters in a precinct whenever the location or name of their polling place is changing.
You will also receive a new Voter Information Card as well.

Notice of Election

This notice is sent to overseas voters prior to each general election cycle.

Incomplete Registration Notice

The State of Florida Voter Registration Application has a number of required fields. If you fail to complete the application, this letter will be mailed to you along with a new registration form, indicating what item(s) you failed to complete.

You need to complete the application and return it to us as soon as possible. Your registration or change to registration cannot be processed until we receive a complete application.

NPA Notice, Good Registration

Although there are a number of required fields for a registration application to be considered complete, a selection of party is not among them.

If your new registration application is otherwise complete, but you have not made a selection of party, you will be registered as NPA (no party affiliation), and this letter will be mailed to you. If your application is an update to an existing registration, no change will be made to your party, and you will NOT be mailed this letter.

Pre-Registration Welcome Letter

In the State of Florida you may pre-register to vote as early as age 16. When you pre-register, you will automatically be eligible to vote on your eighteenth birthday.

This letter is sent to all teenagers who pre-register to vote, to provide them with important information about voting for the first time.

Unverified Voter Letter

For new registrants, your driver's license and last 4 digits of your Social Security number are sent to the Division of Elections for verification.

If this data fails verification, we will be unable to register you to vote, and this letter will be sent to you asking for you to provide the data we need to complete your registration.

If you receive this letter, please respond to it promptly, so that we may complete your voter registration.

Signature Update Request

The signatures on all Vote-by-Mail ballots are compared to the signature we have on file here in the Elections Office. If the signatures do not match, your Vote-by-Mail ballot could be rejected.

Since voters' signatures sometimes change over time, we periodically send out this letter to voters who have not voted or updated their registration information for a period of time.

We encourage everyone who receives this letter to sign and return the enclosed registration form, so that your signature of record is always up-to-date.

Mail Ballot Rejection Letter

If your Vote-by-Mail ballot is rejected by the Canvassing Board we will send you this letter telling you why. The most common reason is failure to sign the certificate envelope.

Provisional Ballot Rejection Letter

If you vote provisionally either at Early Voting or at the polls on Election Day, the Canvassing Board will review your ballot for eligibility. If your ballot is not accepted, then we will send you this letter telling you why.
